Job Description
We are looking for a smart, enthusiastic, well-organized, and proactive Back Office Executive (preferably female candidate) to support our growing operations and customer coordination activities.
Key Responsibilities

Customer Follow-Ups

  • Regular follow-up with customers for quotations, purchase orders, payments, deliveries, and pending approvals.
  • Coordinate with customers regarding technical documents, dispatch schedules, and order updates.
  • Maintain healthy professional relationships with clients through timely communication.
  • Ensure prompt responses to customer Enquiries via email and phone.

Supplier & Vendor Coordination

  • Coordinate with suppliers and logistics partners for material availability, delivery schedules, and documentation.
  • Follow-up for lead times, dispatches, invoices, and shipment tracking.
  • Maintain vendor communication records and procurement updates.

Cross-Functional Coordination

  • Work closely with Sales, Technical, Purchase, Accounts, and Operations teams for smooth execution of customer orders.
  • Facilitate internal coordination across quotations, documentation, order processing, and project execution for smooth and timely execution.
  • Ensure timely communication flow between departments.

 Documentation & Back Office Operations

  • Prepare quotations, proforma invoices, sales orders, and basic reports.
  • Maintain proper records of customer communications, orders, invoices, and dispatch details.
  • Manage and organize digital files, Excel sheets, and company documentation.
  • Support management in day-to-day operational activities.

Communication & Administrative Support

  • Draft professional emails and coordinate meetings/calls with customers and suppliers.
  • Handle telephonic inquiries professionally and confidently.
  • Assist in scheduling appointments and maintaining follow-up trackers.

  • Smart, energetic, enthusiastic, and eager to learn.
  • Excellent communication skills in English.
  • Good coordination and interpersonal skills.
  • Strong follow-up attitude and attention to detail.
  • Positive personality with professional etiquette.
  • Ability to multitask and work in a fast-paced environment.
  • Good knowledge of MS Excel, Word, Outlook, and basic computer operations.
  • Experience with MS Office, Zoho Books, Adobe, and similar tools is an added advantage.
  • Prior experience in Pharma/Biopharma/Industrial/Engineering companies will be an added advantage.
Qualification
  • Graduate in any discipline (Commerce / Science / Management preferred)
  • 1–4 years of experience in Back Office, Coordination, Customer Support, or Operations role preferred.
  • Freshers with excellent communication and learning attitude may also apply.
